This position serves as the first point of contact for tenants, visitors, vendors, and clients entering our corporate headquarters. The ideal candidate enjoys helping people, thrives in a fast-paced environment, and is interested in building a career in commercial property management.
Position Summary
The Property Management Administrative Assistant / Front Desk Coordinator will manage the front desk operations of our three-story office headquarters while providing administrative support to the property management team. This individual will work closely with property managers and ownership to help coordinate the day-to-day operations of multiple commercial properties.
Responsibilities
• Answer and direct incoming telephone calls professionally and courteously
• Greet tenants, visitors, vendors, and clients and provide assistance and directions
• Maintain a professional and welcoming front desk environment
• Assist property managers with daily administrative tasks
• Prepare and distribute tenant invoices, rent statements, notices, and correspondence
• Process incoming mail and deliveries
• Coordinate service requests and communicate with vendors and contractors
• Track and organize tenant files and property records
• Assist with accounts receivable activities, including receiving and recording rent payments
• Prepare bank deposits and deposit checks
• Maintain office supplies and administrative records
• Schedule meetings and appointments as needed
• Support various projects and special assignments related to property management operations
• Provide assistance to executive suite tenants and help maintain a clean, professional, and welcoming common area environment.

• Previous administrative, receptionist, customer service, or property management experience is a plus, but we are willing to train the right candidate
