Purpose of Position:
We are looking for a proactive and detail-oriented HR Administrative Assistant to join our Human Resources team. This role will provide critical support across a range of HR functions, with a primary focus on North America (NA) administrative support, including job descriptions and other administrative tasks. The ideal candidate is organized, resourceful, and thrives in a fast-paced, collaborative environment.
Accountabilities
Administrative Support:
- Manage shared inboxes/calendars, respond to routine inquiries, and route requests as needed for the HR team.
- Coordinate and plan team meetings, events, and employee engagement activities, including scheduling, agenda preparation, note-taking, and follow-up tracking.
- Prepare and edit internal communications, reports, presentations, and spreadsheets.
- Create PowerPoint presentations that clearly present information and key insights.
- Use Excel to support data tracking, basic analysis, and reporting.
- Compile information from multiple sources and summarize key points for leadership.
- Track action items and ensure timely follow-up on key tasks.
- Maintain organized files and documentation, ensuring accuracy and confidentiality.
- Identify opportunities to improve administrative processes and support efficiency.
- Collaborate with cross-functional teams to support coordination and communication.
- Process and track employee expense reports and reimbursements using internal systems (e.g., ADP, Workday, Concur, SAP).
- Ensure expenses are in line with company policies and guidelines.
General Support:
- Serve as a point of contact for employee questions related to expenses and administrative processes.
- Assist with special projects and day-to-day support for the team.
Minimum Skills Required:
- 2+ years of administrative or HR support experience, preferably in a corporate or regional setting.
- Strong writing and editing skills for preparing professional documents.
- Excellent organizational and time management skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Ability to handle confidential information with discretion.
- Strong interpersonal and communication skills.
Preferred Qualifications:
- Experience with systems (e.g., Concur, SAP, Workday, ADP).
- Bilingual (English/Spanish) is a plus.
