Howard House Interiors is a boutique high-end residential interior design firm known for timeless, layered interiors and a highly personalized client experience. We are seeking an organized, proactive, detail-driven Procurement Coordinator to support the logistical backbone of our projects and help our studio run efficiently.
This role is ideal for someone who loves systems, organization, project coordination, and being an integral part of bringing beautiful design projects to life.
Position Overview
The Procurement Coordinator will support the design team by managing the procurement and administrative side of projects from proposal through installation. This role plays a critical part in keeping projects organized, vendors coordinated, purchasing executed accurately, and timelines moving smoothly.
Responsibilities include assisting with proposals, purchase orders, invoicing, bookkeeping support, order tracking, delivery coordination, vendor communication, and project documentation, while helping ensure projects stay aligned with schedules, budgets, and client expectations.
The Procurement Coordinator will help oversee the purchasing process for furniture, materials, and design selections; maintain organized spreadsheets and tracking systems; support install preparation and logistics; and serve as a key support role in the day-to-day operations of the studio.

Key Responsibilities
Procurement & Project Coordination
- Prepare and organize client proposals
- Create and manage purchase orders
- Process and track invoices
- Maintain accurate project spreadsheets and order logs
- Track product lead times, shipping, and deliveries
- Follow up regularly with vendors on order statuses
- Communicate order updates, delays, and issues to the design team
- Works closely with the design team on reselects and availability issues
Vendor & Order Management
- Coordinate directly with vendors, suppliers, showrooms, and warehouse/receiving partners
- Build and maintain strong relationships with vendors and suppliers
- Confirm pricing, availability, and order details
- Monitor deliveries and resolve shipping issues when needed
- Resolve order discrepancies, damages, or returns
- Request quotes
- Maintain organized procurement documentation for each project
Project Organization
- Create and maintain project binders and documentation
- Organize product specifications, schedules, and selections
- Assist in maintaining accurate and organized project records
- Support overall studio systems and operational workflows
Install Preparation & Logistics
- Assist in preparing for project installations
- Coordinate delivery schedules and install logistics
- Help organize accessories, documentation, and install materials
- Support the design team in ensuring installations run smoothly
- Final client follow up and claims support
Qualifications
Ideal candidates will have:
- Exceptional organizational skills and strong attention to detail
- Experience managing multiple moving parts at once
- Strong written and verbal communication skills
- Confidence working with spreadsheets and tracking systems
- A proactive, solutions-oriented mindset
- Ability to work independently and anticipate needs
- Excellent communication and problem-solving skills
- Comfort supporting invoicing, expense tracking, and basic bookkeeping tasks with accuracy and discretion
Preferred (but not required):
- 1-3+ years experience in interior design, procurement, office administration, project management, bookkeeping/accounting support, or related field
- Familiarity with design vendors, purchasing, or order management
- Experience with bookkeeping support, reconciliations, or accounts payable

- QuickBooks (or other accounting software) for bookkeeping support
- Google Workspace (Docs, Sheets, Drive)
- Dropbox
- Canva
- Microsoft Word, PowerPoint, Excel
- Vendor portals and ordering systems
Compensation & Schedule
- $20–$30/hour, depending on experience
- Full-time in office to start
- Monday-Friday 9am-5pm
