Position Summary
The Office Manager will serve as the company’s primary expert for overseeing daily administrative operations while maintaining the company’s Information Technology (IT) infrastructure, including computer systems, security, and software. This role also oversees office operations, including office equipment maintenance, equipment procurement, health and safety compliance, user support, and vendor management. Ideal candidates are hands-on, resourceful, comfortable working in a small team environment, and able to balance strategic planning with day-to-day operational needs. This is a full-time position reporting to the company President.
Key Responsibilities
System Support (50%)
• Provide daily IT support to staff, including troubleshooting and updating hardware, software, network, and connectivity issues.
• Administer user accounts, permissions, and access controls across cloud platforms (e.g., Microsoft 365, SharePoint, Teams).
• Monitor company servers, network infrastructure, Wi-Fi, and backup systems. Proactively address issues with RSI (our outside network consultant).
• Oversee cybersecurity protocols, including antivirus, patch management, and MFA enforcement.
• Manage IT vendors, service providers, and support contracts.
• Lead planning and implementation of IT system upgrades, software deployments, and technology improvements.
• Maintain asset inventories (computers, mobile devices, peripherals, licenses).
• Support field staff with specialized environmental data collection devices or tablets, as needed.
• Manage and administer Vonage telephone system.
• Administer and assist with vendor website subscriptions, such as Tuyu/FileGenius file sharing site, Adobe, Chicago Manual of Style, and LastPass.
Office (50%)
• Serve as the main point of contact for building management, maintenance vendors, and office service providers.
• Manage office leases, repairs, and office machinery service agreements (Xerox).
• Oversee compliance with workplace safety regulations and emergency preparedness plans.
• Coordinate procurement of office supplies, equipment, and services.
• Support environmental sustainability initiatives within the workplace (e.g., recycling programs, energy efficient purchasing).
• Oversee company fleet vehicle management, maintenance, and expenses.
Qualifications
Required
• Certificate in Computer Science, Information Systems, or a related field and 3+ years of experience in IT support, systems administration, or related role.
• Strong knowledge of Microsoft 365 administration, Windows operating systems, and common business applications.
• Experience managing network hardware (routers, switches, firewalls) and endpoint security.
• Ability to diagnose and resolve technical issues quickly and independently.
• Strong organizational and vendor management skills.
• Excellent communication skills and ability to support non technical staff.
• Ability to lift and move equipment (up to ~30 lbs.) when needed.
• Microsoft Office.
• Satisfactory criminal history background check.
Preferred
• Bachelor’s degree in computer science, Information Systems, Business Administration, or a related field and 5+ years of experience in IT support, systems administration, or related role.
• Experience in facilities management or office operations.
• Familiarity with environmental consulting workflows, data collection tools, and GIS systems.
• Experience implementing IT policies, cybersecurity frameworks, or documentation standards.
• Managerial experience.
• Basic knowledge of OSHA workplace safety guidelines.
• Experience with BST and Microsoft Access a plus.
