Administrative Assistant– Covenant Contracting Group Inc.

Covenant Contracting Group Inc., a fast-growing interior renovation construction company located in Whitestone, Queens, is seeking a full-time Administrative Assistant. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple administrative tasks while supporting both the office and field operations. Must have Construction experience.

Key Responsibilities:

Proposal and Job Coordination:
* Create tailored client proposals and follow up for approval
* Obtain purchase orders (POs) from clients as needed
* Coordinate with the Dispatch Department to ensure execution of approved proposals
* Assist in maintaining project timelines, including scheduling, documentation, and mobilization

*Purchasing and Material Logistics: *

* Order materials using platforms such as Amazon, Home Depot, and Lowe’s
* Coordinate material deliveries and logistics for job sites
* Assist in permit acquisition and manage delivery scheduling as required

Billing and Financial Support:

* Generate and send invoices using QuickBooks upon job completion
* Track and review accounts receivable (AR) weekly and follow up with clients as needed
* Create weekly reports and notes on completed but unbilled jobs
* Forward subcontractor/vendor invoices to bookkeeper/accountant for processing
* Support payroll preparation and budget tracking for ongoing projects

*Office and Communication Management: *

* Maintain organized project records and documentation
* Update and manage CRM system (Podio) with job-related information
* Ensure internal and external communication is clear, timely, and effective
* Provide support for submittals and assist with subcontractor/vendor negotiations

**Team Support and Participation: **
* Work closely with the CEO to improve and streamline office workflows
* Support and collaborate with other in-office administrative staff
* Must assist and participate in all company activities and events

**Qualifications: **

* 3+ years of administrative experience in the construction industry preferred
* Proficiency with Microsoft Office (Word, Excel, Outlook); QuickBooks and CRM systems experience (Podio preferred)
* Strong written and verbal communication skills
* Exceptional organizational skills with a proactive, can-do attitude
* Ability to multitask and meet deadlines in a fast-paced environment
* Spanish speaking preferred

**Schedule & Compensation:**

* **Hours:** Full-time, Monday–Friday (9:00 AM – 5:00 PM)
* **Compensation:** Competitive based on experience
